Job Description
• Operational Support:
– Assist with the planning, coordination, and execution of daily operations across engineering projects, ensuring timelines and project milestones are met.
– Support the operations team in managing resources, procurement, logistics, and supply chain management to ensure projects run smoothly.
– Monitor and optimize operational processes, identifying areas for improvement and implementing efficient workflows.
• Administrative Tasks:
– Manage day-to-day administrative tasks, including scheduling meetings, handling correspondence, and maintaining office supplies.
– Organize and maintain physical and electronic files, records, and documentation related to projects, contracts, and other operational matters.
– Prepare and maintain reports on project progress, equipment usage, and operational costs.
• Project Coordination:
– Support project managers and teams in tracking project progress and ensuring timely delivery of materials and resources.
– Coordinate with external vendors, contractors, and suppliers to ensure timely delivery of services and materials necessary for project execution.
– Assist with the preparation of project-related documentation, such as contracts, progress reports, and meeting minutes.
• Resource Management:
– Maintain inventory of office supplies, equipment, and tools, ensuring proper maintenance and timely replenishment.
– Track usage of project-related materials and assist in the procurement process to ensure the availability of necessary resources for engineering projects.
• Client & Vendor Liaison:
– Act as a point of contact for clients, contractors, and vendors regarding operational and administrative queries, maintaining positive relationships.
– Manage scheduling, documentation, and reporting related to vendor services, ensuring timely completion of contractual obligations.
• Team Support & Communication:
– Provide administrative support to senior management and team leaders across various departments.
– Facilitate internal communication to ensure the smooth flow of information between operational, engineering, and administrative teams.
Job Requirement
– Bachelor’s degree in Business Administration, Operations Management, Engineering Management, or a related field.
– 2-4 years of experience in operations, administration, or project coordination, preferably in the engineering or construction industry.
– Familiarity with engineering project processes and supply chain management.
– Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
– Fluently in English
