Position Summary

The Admin Officer is responsible for providing essential office support to ensure smooth business operations. Duties include answering calls, coordinating schedules, handling documentation, maintaining office operations, and supporting staff and visitors.

Working Conditions

  • Working Hours: 08:00 – 17:30 (1-hour break from 12:00 – 13:00)
  • Working Days: Monday – Friday

Key Responsibilities

1. Office Support & Communication

  • Answer and direct phone calls
  • Respond to emails, telephone, and in-person enquiries
  • Produce and distribute correspondence, memos, letters, faxes, and forms
  • Greet and assist visitors; provide general office support
  • Take dictation and prepare accurate minutes of meetings
  • Cover reception desk when required

2. Scheduling & Coordination

  • Organize and schedule meetings and appointments
  • Manage staff appointments
  • Coordinate office procedures and resolve administrative issues
  • Handle multiple projects, including typing, copying, binding, and scanning

3. Documentation & Reporting

  • Maintain contact lists
  • Develop and maintain filing systems (manual and digital)
  • Assist in preparing regular reports and reconciling expense reports
  • Handle sensitive information confidentially
  • Photocopy and print documents for colleagues

4. Operations & Maintenance

  • Order office supplies and maintain inventory
  • Verify supply receipt and expedite orders
  • Ensure proper operation of office equipment; coordinate repairs
  • Evaluate new equipment and improve administrative systems

Job Requirements

  • Minimum 1-year experience in office administration or related field
  • Strong multitasking and coordination skills
  • Professional proficiency in English and Khmer; Chinese is a plus
  • Degree in a relevant field; fresh graduates with good attitude are welcome
  • Excellent computer literacy (Word, Excel, PowerPoint, Outlook, Internet)
  • Flexible, service-minded, and solution-oriented
  • Responsible, self-motivated, and committed to deadlines
  • Positive attitude with strong social and organizational skills

Language Requirements

  • English: Good to Advanced
  • Khmer: Fluent
