  • Job description

    • A focal person for relations between unions in Japan and local partners with the company
    • Plan to market in Japan and update plans according to market conditions
    • Establishing relationships and marketing in Japan through a defined marketing plan
    • Learn the competitors’ service prices and report to management
    • Update on current working conditions and regulations to Recruitment Department
    • Lead meetings with relevant parties to address issues facing clients
    • Prepare daily meetings with their team for at least 15 minutes
    • Entry participants’ information into the Duty Registry and the DPMS database
    • Prepare schedule of visits and greetings to Japanese employers (hotel reservations, restaurants, Air tickets, etc.)
    • Guide the Japanese employer to visit training center, trainees and dormitory
    • Receive Japanese employers at the airport and bring them to hotel
    • Prepare a resume of Japanese applicants and send it to the company / employer in Japan as require
    • Notify the Recruitment department about the demands of Japanese companies / employers so that the Recruitment department can contact the applicants to register in accordance with the needs of Japanese companies / employers
    • Stick the demand letters on the information board, in the classroom and in dormitory of trainees
    • Introduce the working conditions and requirements of Japanese companies / employers to interviewed applicants
    • Cooperate with training centers and Partner Company to prepare place and materials for interview
    • Lead the pre-interview and final interview to be effective
    • Coordinate and interpret during the interview
    • Follow up doctor’s appointment for an initial medical examination
    • Collaborate with the Training Center in arranging classrooms for interviewed trainees (create a list and send trainees to the training center)
    • Bring the company / employer to visit to the passed interviewed candidate’s house
    • Documentation of company information, the training center information, the sending company / factories and the trainees’ information according to the requirements of the Union to submit to Japan for a residence permit (COE)
    • Monitoring and accelerating trainees’ documentation, including passport, visa, health check-up and documentation process in Japan.
    • When receiving a Certificate of Residence (COE) of trainees in Japan, prepare a list flight, a tax deduction notice in Japan, a contract of service contract, and a seal
    • Booking for air tickets and travel arrangements upon departure
    • Arrange party for the trainees to leave
    • Introduce and explain how to leave and some airport restrictions to trainees
    • Take photos of trainees when they leave and upload to the Japan Coordinator Group
    • Fill out the application form and fill out the Japan ID card for the participants
    • Contact the union and staff of the Representative Office in Japan to attend the trainees at the airport in Japan
    • Be in regular contact with unions or representative offices in Japan to know the participants’ arrival
    • Do the notification with the Japanese boss when the trainees arrive in Japan
    • Regularly communicate with trainees and unions to know the status of the trainees and resolve other issues, if any, during the stay of participants in Japan
    • Travel to Japan on a union request
    • Prepare a follow-up and monitoring form to screen the trainees’ situation in Japan
    • Monitoring and examining the situation of trainees with Japanese bosses and unions in Japan during trainees working in Japan every 3 months
    • Collecting information from the monitoring and checking of the situation of the trainees and reporting to management
    • Monitor and evaluate the quality of trainees being trained to management and unions in Japan
    • Review and manage the documents process of trainees from the register until they completely departure
    • Monitoring and preparing the contract of completion of the trainees in Japan after completing the employment contract and preparing the repatriation of trainees safely
    • Review daily and monthly activity report and submit to managemen
    • Other tasks required by Managing Director or Manager

    Requirements

    • Bachelor degree
    • Japanese speaker at least N4
    • Experiences in Administration work at least 1 year
    • Able to work under pressure
